How do I lock billing records during the auditing period?

Find out how to freeze updates to billing records while you are being audited

During the auditing period, it is likely that you will want to prevent updates and deletions to the billing records, estimates, projections, and GHG emission factors used by your organisation in CCAP Integrated. This will ensure that the data submitted to your auditors is consistent with the data in the tool.

CCAP Integrated allows you to set an Archive date for your organisation. Any billing records, estimates, projections, and GHG emission factors active prior to this date will be will be locked, ensuring they cannot be updated or deleted. When the auditing period is over, you can optionally remove the Archive date to allow historical records to once again be updated.

For example, if the Archive date is set to 1/7/2017:

  • You will not be able to load or edit any billing data from 30/6/2017 or older.

  • When estimations (including refrigerant leakages estimations) are run, it will only re-estimate billing data from 1/7/2017 forward.

  • Any updates to reference data like emission factors for periods prior to this date will not recalculate GHG emissions.

You can update the archive date for your organisation by first navigating to Management > Data > Organisations, then clicking the edit button at the right hand side of your organisation row.

To remove any archive date, first click on the date field then click Clear. Please note that clearing the archive date will not then trigger a recalculation of GHG emissions if the emission factors for periods prior to the date have changed.
